String Instrument Rental Policy

Instrument rentals are subject to availability.  Below is a list of information that governs the renting of an instrument from the Edmonton String Players Association (ESPA) and the Music Enrichment Program (MEP) for the 2017-2018 season.  Should you have any questions regarding rental instruments or the renting process, feel free to contact our office by email: registrar@musicenrichment.ca or phone: 780-705-2040.

Rental fee

A $100 instrument rental fee is required at the time of rental.  This fee is non-refundable.

Damage deposit

An additional $150 damage deposit fee is required at the time of rental.  This deposit is required in addition to the $100 rental fee.

The damage deposit must be received in the form of a post-dated cheque ONLY, made payable to Edmonton String Players Association and post-dated to June 5, 2018.  This cheque will be returned to the renter when the rental instrument is returned to MEP in good working condition on or before the end-of-season instrument return date.

Instrument care

The renter and student are responsible for following instrument care instructions as outlined by a member of MEP staff and/or any MEP instructor or conductor.  Visit our Instrument Care page for a list of care tips.

Damage or loss

The renter is responsible to fully pay any incurred repair costs should there be any damage to the rented instrument, or replacement costs should the instrument be lost or stolen.

Withdrawals

Instruments will only be rented to current MEP students.  Should the student withdraw from the program for any reason and at any time before the end of the 2017-2018 season, he/she will no longer be considered eligible to rent an instrument through ESPA/MEP.  The rental instrument must then be returned to MEP immediately.

It is the responsibility of the student and parents/guardians to communicate withdrawals with a member of MEP staff by phone or email as soon as they occur.

The $100 rental fee is non-refundable.

Return date

Instrument return dates will be scheduled in the spring of 2017 and communicated with the renter via email.  These return dates will be scheduled on or before June 5, 2018.

Should the rental instrument not be returned by the final return date, and no alternate arrangements have been made with ESPA/MEP prior to that date, the $150 damage deposit cheque will be deposited and not refunded.

The rental instrument must be returned to ESPA/MEP in good working condition at the end of the 2017-2018 season OR at any time if requested by any MEP instructor/conductor at any time during the 2017-2018 season for any reason.

Summer rentals

The renter may extend the instrument rental past the June 5, 2018 return date, provided the instrument is brought in for inspection as arranged with a member of MEP staff, a new rental agreement is completed, the damage deposit cheque is updated, and the required rental fee is paid for the following season.
